Booking and payment terms

1. General information

The OpenSoulRetreat website (opensoulretreat.com) is for informational purposes only The program descriptions, itineraries, and prices published on the website are provided for reference and do not constitute a public offer

Booking participation in a retreat tour is completed only after confirmation by a manager and agreement on all details (dates, included services, accommodation, final price, payment and cancellation terms)

Clicking the buttons “Submit a request / Book / Get details” means sending an inquiry and is not a payment and does not constitute automatic booking confirmation

2. How booking works

After you submit a request, a manager will contact you to:

  • confirm dates, number of participants, accommodation preferences, and other details
  • confirm availability
  • finalize the total price and terms

After the terms are agreed, the manager will send you a confirmation and payment instructions If necessary, before payment a service agreement for travel/organizational services may be issued (depending on the program format and the set of services)

3. Service providers and organization format

Retreat tour programs may include services provided by third parties (providers): hotel accommodation, transfers, sightseeing and/or wellness activities, and other program elements These services are delivered on site by the respective providers, while OpenSoulRetreat organizes the program and coordinates everything within the agreed terms

4. Payment

Payment is made in coordination with the manager after availability and the final price are confirmed

Unless otherwise agreed individually, the following procedure applies:

  • deposit — 50%
  • the remaining 50% must be paid no later than 14 days before the tour starts

If payment is not received by the due date, we reserve the right to cancel the booking/agreement under the cancellation terms below

5. Cancellation and refunds

Tour cancellation:

  • if cancelled more than 14 days before the tour start date, a fee of 50% of the total cost applies
  • if cancelled less than 14 days before the tour start date, a fee of 100% of the total cost applies

If the booking/agreement is cancelled due to non-payment by the due date, the fee is applied according to the cancellation policy above

Refunds:

  • refunds are processed according to the exchange rate set by the Bank of Indonesia on the payment date
  • refund request review period — up to 20 calendar days from the date of the request
  • refund processing period — up to 10 calendar days from the date the request is approved

Not reading this information does not release the participant from complying with the booking and cancellation terms

6. Program changes and force majeure

The organizer has the right to make changes to the tour program by replacing elements with an equivalent option in terms of cost and meaning (for example, due to weather conditions, national holidays, access restrictions to locations, safety requirements, or other circumstances) We will notify the participant of significant changes in advance whenever possible

7. Important participation terms

The participant must inform the manager in advance about any contraindications, medical conditions, injuries, allergies, dietary intolerances, and any other circumstances that may affect participation in the program

It is recommended to have valid medical insurance that covers your stay in Indonesia and the selected types of activities

The participant agrees to follow safety rules and to respect local traditions and the requirements of venues/providers (hotels, temples, practice centers, etc.)
